Your Laptop Fits in the Bag. That Does Not Make It Travel-Ready.
Packing for a work trip is the easy part. Landing and finding that the charger is too weak, the headset will not connect and the files you need never actually downloaded is the part that catches people out.
The best travel kit is not the one with the most accessories. It is the lightest combination of gear that still lets you work securely once you land, and the only way to know whether it does is to test the whole setup together before you leave.

Weigh the Whole Kit, Not Just the Laptop
Spec sheets quote the weight of the laptop on its own. That is not what you end up carrying. Weigh it together with the charger and cable, the headset and its USB adapter, the mouse, the presentation dongle and the travel power adapter for wherever you are going.
A 1.2kg laptop with a brick charger can end up heavier in the bag than a 1.4kg laptop that charges over USB-C. Weigh the lot, then take out anything that duplicates another device or does not solve a problem you have actually had on a trip.
Carry One Charger Instead of Three
A single multi-port USB-C GaN charger can run your laptop, phone and headset from one plug, which is the easiest weight and cable clutter you will ever save.
Matching USB-C plugs do not guarantee enough power though. Test the charger while the laptop is doing real work. The question is not whether it charges, it is whether the battery level holds or climbs while Teams, your browser and your line of business applications are all running. The cable counts as much as the charger, because a 100W charger on a cable rated for 60W will quietly undercharge you all day. Test the Headset Before You Rely on It
A travel headset has to work at both ends of the call. Music sounding good tells you nothing about whether a customer can hear you clearly from a hotel room, a shared workspace or an airport lounge. Test it through the application you will actually be using, not the sound settings on the laptop:
- Make a real Teams or softphone call and ask the other person how you sound
- Confirm it connects the way you expect, over Bluetooth or a USB adapter
- Switch it from the laptop to your phone and back again
- Run it through a full day of calls to see what the battery really does
A dedicated USB adapter often gives a more stable connection and clearer calls than pairing straight to the laptop over Bluetooth. Test the Whole Setup on a Mobile Hotspot
Testing your kit on the office Wi-Fi proves almost nothing, because the office network already trusts your device. Disconnect from it, tether to your phone, and run through a normal working day before you fly. Sign in to Microsoft 365, complete multi-factor authentication, open your meeting files, make and receive a call on the business phone app, and join a Teams meeting using the travel headset.

Check Your Authentication Still Works Overseas
An overseas eSIM makes mobile data far cheaper, and it can also cut off the Australian number your security codes are sent to.
Before you swap SIMs, confirm that your Australian number stays reachable or that your codes come from an authenticator app instead, and check that your backup method does not live only on the device you would be trying to recover. Make Sure Your Files Are Genuinely Offline
OneDrive and SharePoint let you see every file without storing all of them on the laptop, which is exactly what you do not want on a flight or in a venue with unusable Wi-Fi. Seeing the filename does not mean the file has downloaded.

Take Your Business Number With You
Being out of the office should not make you harder for customers to reach. A cloud business phone system lets you answer your usual business number through a mobile app or a softphone on your laptop, wherever you are. Test it over mobile data before you go, and confirm that:
- Incoming calls land on the device you are actually carrying
- Your business number shows on outgoing calls, not your mobile
- Unanswered calls fall back to someone in the office
- Voicemail still reaches you while you are away
- You know what international data and roaming will cost

If the Laptop Does Not Come Home
A lost laptop is not a hardware cost. It is access to your email, files and customer information walking out of an airport. Before your team travels, you should be able to say yes to all of these: the device is encrypted, it can be locked or wiped remotely, its updates and endpoint protection are current, the files on it are backed up, and access can be cut off in minutes.

Run these the week before the trip rather than the night before, so there is time to fix whatever fails.
- Weigh the complete kit, then remove the duplicates
- Confirm the charger holds the battery level under real load, on the cable you are packing
- Make a test call on the headset through Teams or the softphone
- Run a working day over a mobile hotspot
- Confirm your security codes will still arrive if you change SIMs
- Open your meeting files with the Wi-Fi turned off
- Check the business number follows you, in and out
- Confirm the device is encrypted, patched, backed up and remotely manageable
- Save the IT support number somewhere you can reach without the laptop
