What Is Microsoft 365 Copilot?

Microsoft 365 Copilot is an AI assistant built into the Microsoft 365 apps your team already uses. It drafts documents and emails, summarises meetings and long threads, and answers questions using your organisation’s own emails, files, chats and meetings.

It works within each person’s existing access, so it only uses content that person is already allowed to open. Microsoft now sells it to businesses with up to 300 staff as Microsoft Copilot Business.

Copilot can make mistakes. Microsoft says its answers aren’t guaranteed to be accurate, so staff should check drafts and figures before using them.

Copilot Chat vs a Copilot Licence

Every Microsoft 365 business plan includes Copilot Chat. A paid Copilot licence is what connects Copilot to your own work.

Copilot Chat (included)

Comes with Microsoft 365 business plans at no extra cost. Staff sign in with their work account to use AI chat grounded in the web, with some help inside the Microsoft 365 apps.

A sensible place to start before buying licences.

Microsoft 365 Copilot (paid licence)

Adds Copilot inside Word, Excel, PowerPoint, Outlook and Teams, working with your organisation’s emails, files, chats and meetings, plus Microsoft’s Researcher and Analyst agents.

Copilot Business: an add-on for up to 300 users, on an annual term
Or Business Standard or Business Premium with Copilot built in
Works with Business Basic, Standard and Premium, Apps for business and Teams Essentials

You don’t have to license everyone. We’ll tell you who’s fine with Copilot Chat, so you only pay for the people who’ll use a licence. See Microsoft 365 Business Premium.

Where Copilot Saves Time

Copilot is most useful for the writing, reading and summarising that fills a working week.

Catching up on email

Summarise a long Outlook thread in a few lines, then start from a drafted reply you can edit.

Meetings

Get a recap and action items from a Teams meeting when transcription is on, including the parts you missed.

Reports and proposals

Turn notes or an existing document into a first draft in Word, or a draft presentation in PowerPoint.

Working with numbers

Ask Excel questions in plain English and get formulas, charts and summaries back.

How We Roll Out Copilot

Copilot is only as safe and useful as the Microsoft 365 setup underneath it, so we check that first.

1

Licence check

We confirm your plan is eligible and work out who needs a licence and who’s fine with Copilot Chat.

2

Permissions review

We look for files in SharePoint, OneDrive and Teams that are shared more widely than they should be, and tighten them.

3

Pilot group

A few people try Copilot on their real work first, so you can see the value before licensing more staff.

4

Training

Short sessions on what to ask Copilot in each app, and how to check what it gives back.

5

Review and expand

We go through Microsoft’s Copilot usage reports with you and add licences where they’re being used.

FAQs

Microsoft 365 Copilot FAQs

What is Microsoft 365 Copilot?

Microsoft 365 Copilot is an AI assistant built into Word, Excel, PowerPoint, Outlook and Teams. It drafts, summarises and answers questions using your organisation’s emails, files, chats and meetings, within each person’s existing access. Microsoft now sells it to smaller businesses as Microsoft Copilot Business.

What’s the difference between Copilot Chat and Microsoft 365 Copilot?

Copilot Chat comes with Microsoft 365 business plans at no extra cost. It’s AI chat grounded in the web, with some help inside the Microsoft 365 apps.

A paid Copilot licence adds Copilot inside Word, Excel, PowerPoint, Outlook and Teams, working with your own emails, files, chats and meetings. It also includes Microsoft’s Researcher and Analyst agents.

Which Microsoft 365 plans work with Copilot?

For businesses with up to 300 users, Copilot Business can be added to Microsoft 365 Business Basic, Business Standard, Business Premium, Apps for business or Teams Essentials. It’s sold on an annual term.

Microsoft also sells Business Standard and Business Premium with Copilot built in. Larger organisations use Microsoft’s enterprise Copilot licences.

How much does Microsoft 365 Copilot cost?

Copilot is licensed per user, per month, on an annual term, and Microsoft runs promotions from time to time. The total depends on how many people need a licence and which Microsoft 365 plan you’re on, so we quote instead of publishing a price.

You don’t have to license everyone. Some staff may be fine with Copilot Chat. Request a quote and we’ll set out the options.

Is our data safe with Copilot?

Microsoft says prompts, responses and data accessed through Microsoft 365 aren’t used to train its foundation AI models. Prompts and responses are stored under the same commitments as your other Microsoft 365 content.

Copilot only shows content a person already has permission to open. If files are shared too widely, Copilot can surface them, which is why we review sharing permissions before rollout.

Is Copilot data kept in Australia?

Partly. For Microsoft 365 accounts set up in Australia, Microsoft’s Product Terms cover storing Copilot prompts and responses in Australia. Processing can still happen overseas: Microsoft says customers outside the EU may have queries processed in the US, EU or other regions.

Microsoft has said it expects to offer local processing in Australia by the end of 2026. We’ll tell you if your industry has data rules that affect how you use Copilot.

Can Copilot make mistakes?

Yes. Microsoft says AI-generated responses aren’t guaranteed to be 100% factual, so staff should check drafts and figures before using them. Our training covers how to check what Copilot gives back.
